Housing Co-operatives

Stop relitigating what the last board decided.

Dossier is the shared memory for your board and the directors who follow you. Maintenance history, share transfer precedent, capital projects, policy decisions. All findable in seconds, with sources attached.

Get early access

Setup takes minutes. No IT project. No team training.

Co-op boards are elected to govern a building they did not build, with history they cannot access.

Every board inherits years of maintenance, policy, and share transfer decisions made by previous boards over email.

Maintenance history is scattered

Quotes, assessments, and board votes live across old threads.

Share transfer decisions have no memory

Reasoning can disappear when directors change.

Policy decisions get challenged

The original debate is hard to recover.

Special assessments need justification

Members deserve to see the history behind the decision.

Your board keeps using email. Dossier becomes the co-op's permanent record.

No app to install. No login for board members to forget.

Dossier - Riverside Housing Co-op
"Where are we on the elevator modernization, what did the board approve, and what's still ahead?"

Dossier

The board commissioned an elevator condition assessment in March 2025 after the engineer's report flagged the controllers and door operators as end-of-life. Three modernization bids came in between May and June; the board approved Schindler at $185,000 in June after weighing maintenance track records and parts availability over a 15-year horizon. Funding was split between the capital reserve and a $1,200-per-unit special assessment, approved by members at the September AGM. Phase 1 (controllers, door operators, cab refresh) completed in January 2026, on budget. Phase 2 (hoistway upgrades and emergency communication) is scheduled for fall 2026.

Ask the questions co-op boards keep inheriting from prior terms.

These are the issues that usually send directors hunting through old mailboxes for precedent, quotes, and context.

  • "Why did the board choose a special assessment for this project?"
  • "What happened with the last share transfer like this?"
  • "What did we decide about the sublet policy, and why?"
  • "Which contractor quote was approved for the boiler work?"
  • "Who committed to follow up after the AGM?"
  • "What is the history behind this maintenance issue?"

Co-op answers stay tied to the board record.

Members and directors often need to see the vote, quote, or thread behind an answer, especially when the issue affects budgets, policy, or precedent.

Precedent

Past decisions stay connected to the supporting record

Transfer decisions, policy debates, and maintenance approvals remain tied to the emails and documents that explain them.

Member trust

Special assessment context stays inspectable

When members ask why a project or assessment is necessary, the board can point back to the quotes, discussion, and documented history behind it.

Board continuity

New directors can verify before reopening an issue

A sourced answer gives the current board the underlying record before it revisits a decision made by a prior term.

What changes when the record exists.

Once the record exists in one place, the math shifts for your team.

"What changes for our co-op board?"

Based on the record your team builds, here's what changes:

  1. 01

    Maintenance history accessible across terms.

Quotes, votes, and contractor history outlast board rotations.

  2. 02

Share transfer precedent visible to directors.

Past decisions and reasoning stay in the record.

  3. 03

Special assessments backed by the record.

Members see the quotes and discussion that justified the levy.

  4. 04

    Defend any decision to members.

The vote, the source, and the reasoning, one click away.

  5. 05

    Policy continuity across elected boards.

New boards inherit precedent, not a clean slate.

Dossier makes sure board decisions outlast every term.

A few practical questions for housing co-ops.

Dossier is designed to help elected boards keep continuity without adding another complicated system to maintain.

Can this help new directors understand old board decisions?

Yes. That is one of the clearest uses for a co-op board. Directors can recover the prior discussion and see the record behind it.

How is this different from AI features in Gmail or other inbox tools?

Inbox AI is built to help one person move faster through their own mail. It can summarize a single thread, pull a fact from an old email, or draft a reply. Dossier does a different job: it turns the threads and documents your board shares into a sourced record of what was decided, by whom, and when. Even the strongest inbox AI does not stitch a board decision together across three separate threads spread over six months, treat decisions and capital project commitments as their own searchable objects, or carry that record forward when directors rotate off.

Is it useful for maintenance and capital project history?

Yes. Those projects often span multiple board terms, multiple quotes, and long email threads. Dossier helps keep that history inspectable.

What if our board records are incomplete?

It still helps. Dossier answers from the threads and documents that have been shared and keeps the visible sources attached to the answer.

Does this replace official co-op records?

No. It complements them by making the reasoning, commitments, and source material behind those records easier to recover later.

How do you handle our data?

Your threads are never used to train AI models. Data is transmitted over an encrypted connection. Only members you invite can see your Dossier, and you can delete your data, export it, or close your account at any time.
